Microsoft Dynamics has in recent years developed a number of small “tweaks” to the Human Resources and Payroll modules. These tools and services can be purchased to address specific needs, resolve minor issues or mark an item off of your “wish list.” It’s almost like when you get an itch in the middle of your back, right where you can’t reach—and someone steps in and scratches it for you! Here are some tools currently available:
- Print beginning balance, time accrued, time taken and available balance on earnings statements
- Show the math behind calculating employees’ available vacation/sick time
- Payroll quarterly report pop-up date option
- Allows you to choose the year for payroll quarterly reports, rather than changing your user date to change the report date
- Deduction/benefit pay period maximum
- Set a maximum deduction or benefit amount per pay period, regardless of how many times an employee is issued a check during the pay period
- Payroll transaction number tracking
- Can be used with an Extender window
- Saves the batch number of transaction number from the Payroll Transaction Entry with the posted payroll transaction
- Stop duplicate checks
- Looks to see if the check number already exists (both unposted or posted) and displays a warning allow users to proceed or cancel the build
- Detailed activity tracker
- Tracks changes made to employee records, including who changed the table/field and information about the change, such as date/time and old/new values
- Direct Deposit ACH modification
- Modifies the direct deposit ACH file to customer specific bank requirements (non-NACHA format)
- Employee Copy
- Copies employee information between companies
- Pay code, deduction and benefit modifiers
- Allows you to change the code used for a benefit, deduction or pay code, even if there are activities or employees assigned to it
- Proration of payroll local tax
- Allows proration of local taxes on the gross wages—common in the state of Ohio
- Pay code history edit
- Allows user to change Workers Comp code, FUTA taxability and SUTA state within the pay code history window for posted transactions
- Can be used to correct transactions with incorrect FUTA, SUTA or workers comp settings
- Payroll sum similar transactions within a batch
- Summarizes similar transactions (same employee ID, department, position, pay code, pay rate, state tax, local tax, SUTA state, workers comp state and shift code) into one transaction when running payroll
- Payroll detailed 941 report
- Allows users to print 941 reports by date range or employee range
- Certified payroll report
- Adds project numbers to employees’ hourly transactions and tracks them per project; also can capture the information posted from the timesheet entry window in Project Accounting
- Report can be printed weekly, including employees, departments, job titles and pay codes by project
- Employee modified
- Allows you to change an employee ID, even if activity has been posted, and retain all activity

You had mentioned one of the new tools for changing Pay code, deduction and benefits. What tool exactly allows you to do this? I don’t think PSTL let you.

Hi Greg! The Pay Code, Deduction, and Benefit Modifiers are part of the Professional Services Tools Library. If you email me at cphillips@bkd.com, I can send the fact sheet from Prof Svcs that details the tools.

I am new to GP. Is there a report that shows changes to employee records? I have many changes during a payroll period and hope that I put them in correctly.
The problem is that when I am working in GP I can have may records open and I put someone’s direct deposit information on the wrong record. i now have learned to close all records but I cannot understand why there is no journal for activity like you would find in most financial software. Can you help?
There are a few ways to track changes to data but they must be enabled before the changes occur.
1. Activity tracking – this function is turned in within the system setup menu and will let you know that users are making changes to data. Unfortunately, changes or additions to the direct deposit window are not recorded.
2. Professional Services Tools Library – While this particular utility is not in the suite, it’s still a utility that can be used to track information about changes to employee data. The utility is named Detail Payroll Activity Tracking Tool. It tracks changes to the employee master tables and the direct deposit master tables. It works by adding a trigger to the system and then running select statements against the table. You could also build a SmartList or SSRS report to view data from the report. This tool is free but you must get it from a partner. You can contact our support center for assistance.
3. Audit Trails – This module is part of the risk management suite and provides functionality to track changes in different tables in the system.
There are also third-party applications that provide auditing capabilities.
But start with option 2 above.
